What’s involved?
Chairing the Meeting
Draw up an agenda
Make sure that all the right information is available at the meeting or sent out before if necessary
Ask for apologies from absent members
Welcome any new people and make introductions, including guest speakers
Check the minutes of the last meeting as an accurate record
Steer the direction of the meeting and ensure all items on the agenda are introduced and covered and what decisions and actions are to be taken
Allow everyone to have their say but move people on where necessary. Make sure everyone understands the issues and decisions taken before moving on
Plan meeting dates with other members
At the end, thank people for attending, dates for future meetings are reiterated
Declare the meeting closed
After the Meeting
Help to produce minutes, if needed
Do any tasks you have offered to carry out
Follow up on decisions made and invite progress reports for the next meeting
Prepare for the next meeting

What’s involved?
Deal with incoming correspondence via email or post and either reply or pass on to the relevant committee member
Type information about forthcoming events and then send to members by email and post.
Type flyers of forthcoming events and distribute to members
Help prepare agenda for the next meeting, liaising with the Chairperson.
Take minutes at committee meetings, type and distribute
Keep records of all minutes, flyers and other correspondence
Take minutes at the AGM, type and distribute
Give up-to-date information at each committee meeting including informing the committee of any correspondence
Keep membership records up to date
Send out FLASH card and membership form to new referrals
Provide or distribute FLASH cards to interested parties or relevant organizations such as health centres, schools etc

What’s involved?
Banking donations and other monies raised
Keeping an accurate record of the accounts
Sending or giving necessary receipts to relevant parties
Checking statements when received
Paying invoices and other bills promptly
Arranging for the annual external auditing of accounts for presentation at the AGM
Being a signatory for cheques issued on behalf of the charity
Ensure Annual Report and Accounts sent to charity commission
Making sure expenditure doesn’t significantly exceed income
